Airtable Integration

DejaSync provides seamless two-way synchronization with Airtable, allowing you to keep your bases in sync with Google Sheets, Notion, Monday.com, and other platforms.

Getting Started

Connecting Airtable

  1. During sync creation, select Airtable as one of your apps
  2. Click Connect to authorize DejaSync
  3. You'll be redirected to Airtable's OAuth page
  4. Grant DejaSync access to your bases
  5. Select which bases you want to share with DejaSync
  6. You'll be redirected back to complete your sync setup

Selecting Your Data

After connecting, you'll be able to:

  • Choose a base: Select from all bases you've granted access to
  • Select tables: Pick specific tables within your base to sync
  • Map fields: DejaSync automatically detects and maps matching fields

Field Type Notes

Read-Only Fields: Fields marked as "Read-only" are computed or system-managed fields in Airtable. DejaSync can read these values and sync them to other platforms, but cannot write to them.

Formula & Rollup Fields: These fields are calculated based on other data. They can be synced to other apps as their computed values, but the formulas themselves are not transferred.

Linked Records: When syncing linked records, DejaSync syncs the record IDs. The actual linked data is not expanded during sync.

Attachments: File attachments are synced as URLs. The files themselves remain hosted by Airtable.

Best Practices

Field Mapping

  • Use consistent naming: Fields with identical names across apps are automatically mapped
  • Check field types: Ensure compatible field types for smooth syncing (e.g., text to text, number to number)
  • Avoid formula conflicts: Don't map editable fields to formula fields in Airtable

Sync Direction

  • Bidirectional sync: Best for keeping data in perfect sync across platforms
  • One-way sync: Use when Airtable is the source of truth or destination only
  • Read-only fields: Automatically sync one-way from Airtable to other apps

Performance Tips

  • Limit field mappings: Only sync the fields you actually need
  • Use filters: If available, filter data to reduce sync volume
  • Monitor sync logs: Check the Activity page for any sync errors or warnings

Troubleshooting

Connection Issues

Problem: "Failed to connect to Airtable"

  • Solution: Ensure you've granted DejaSync access to the specific bases you want to sync
  • Check that your Airtable account has the necessary permissions

Sync Errors

Problem: "Field type mismatch"

  • Solution: Verify that mapped fields have compatible types
  • Use the field type table above to check compatibility

Problem: "Cannot write to read-only field"

  • Solution: Read-only fields (formulas, rollups, etc.) can only be synced FROM Airtable, not TO Airtable
  • Adjust your sync direction or remove the mapping for read-only fields

Data Not Syncing

Problem: Changes not appearing in Airtable

  • Solution: Check your sync interval and manually trigger a sync to test
  • Verify that the field mappings are correct
  • Review the Activity logs for detailed error messages

API Rate Limits

Airtable has API rate limits that DejaSync respects:

  • 5 requests per second per base
  • DejaSync automatically throttles requests to stay within limits
  • Large syncs may take longer due to rate limiting

Permissions

DejaSync requires the following Airtable permissions:

  • Read data: To access your base schemas and records
  • Write data: To create and update records during sync
  • Read schema: To detect tables and field types

During the OAuth connection process, you control which specific bases DejaSync can access. DejaSync only accesses bases you explicitly grant permission to and only syncs the tables you select during sync creation.
